How TKJ Global Media Ltd, a company incorporated in England and Wales (registration 08272919) handles personal data on this website and in the Phone Call Desk service.
Who we are
Phone Call Desk is operated by TKJ Global Media Ltd, a company incorporated in England and Wales (registration 08272919) (“we”, “us”). This notice explains how we handle personal data when you visit this website, contact us, or use the Phone Call Desk service.
We act as a controller for the data of website visitors and of our customers' staff. When the assistant handles calls on behalf of a customer, the customer is the controller of their callers' data and we act as their processor under our data processing agreement.
Data we collect on this website
Contact and register-interest forms: the name, business, email address, phone number, industry and message you send us. We use them to reply to you and, if you ask, to set your account up. A short-lived cookie is used to keep the form secure. We do not run advertising trackers.
“Hear it call you” demo: your phone number, email address and, if you give them, your name and business, plus the time you confirmed by email. We use them to place the one demo call you asked for, to keep a record of your consent, and — only if you ticked the separate box and confirmed it — to email you occasional news and tips, which you can stop at any time. Demo requests are kept for 12 months.
Your dashboard account
When you or your staff create an account we keep your name and email address, and your password only in scrambled (hashed) form, never the password itself.
Each time you sign in we record the IP address and the browser of that sign-in, to keep your account secure: to limit repeated attempts to guess a password, and so that we can investigate a sign-in you don't recognise. Our lawful basis is our legitimate interest in keeping accounts secure. A sign-in's record is deleted when you sign out, or within a day of the sign-in expiring after 14 days unused.
Data processed by the service
To answer calls on a customer's behalf we process the caller's phone number, the live audio of the call, the transcript, any details the caller provides (such as a name, appointment time or address), and call metadata. Audio recording is off unless the customer turns it on; transcripts are the record.
This processing happens on our servers in London and with the sub-processors listed on our trust page, each pinned to the regional option shown there.
Retention
Website enquiries are kept for up to 24 months. Account details are kept while the account is open; sign-in records as described above. Service data is kept for the retention period the customer sets (30 to 365 days for transcripts and recordings) and deleted by a scheduled job; a record of each deletion run is kept without personal data.
Your rights
Under the GDPR you can ask for access to your data, correction, erasure, restriction and portability, and you can object to processing based on our legitimate interests. Customers can action erasure and export for their callers directly from the dashboard.
Where your data is processed. We are established in the United Kingdom and the service runs on our London servers, so personal data handled by the service is processed outside the EU. The United Kingdom is a third country for the purposes of Chapter V of the GDPR, and the basis on which an EU controller may use us is being settled with counsel and will be stated here — together with the safeguards — before we accept a customer in the EU. We would rather publish that gap than paper over it.
To exercise a right, use the contact page; we respond within one month. You can complain to the supervisory authority in the EU state where you live or work — in Ireland, the Data Protection Commission (dataprotection.ie) — or to the Information Commissioner's Office (ico.org.uk), which supervises us.
Recording and transcription
The GDPR and the ePrivacy rules Ireland implements in the Data Protection Act 2018 require a lawful basis and clear notice before a call is recorded; the assistant can speak your recording disclosure before anything else, and recording stays off until you turn it on. Customers are responsible for the notice they give their own callers; we supply template wording.
